First Steering Committee Meeting of ECO-RED Project
FIRST STEERING COMMITTEE MEETING OF ECO-RED PROJECT
(HCMUT, March 31st to April 1st 2016)
FIRST DAY MEETING
Within two days (31st March to 1st April 2016), representatives from 6 universities in ECO-RED convenened at the campus of Ho Chi Minh City University of Technology (Digital Learning Studio) for the first steering committee meeting of the project. The meeting was co-chaired by UNIROMA1 and HCMUT.
The first day of Steering Committee Meeting started in a very pleasant atmosphere. The meeting’s welcome session included thank-you notes from Dr. Katiuscia CIPRI of UNIROMA1, welcoming remarks from Assoc. Prof. Nguyen Danh Thao of HCMUT and the host’s gifts presented to five visiting partner universities. After the photographing section, representatives of all universities made brief presentations on the activities performed in the project. Below is the list of presentations in the schedule starting with Can Tho University, Hanoi University of Science and Technology, Sapienza University of Rome, Uniwersytet Jagiellònski Krakowie, University of Cyrpus and then Ho Chi Minh City University of Technology. The last but not least presentation in the morning was given by Ms. Gabriella CALDERARI on the guidelines for the use of the Grant. A lot of financial issues were brought into questions and discussions during this final presentation.
After lunch, the meeting continued with separate group work on on-going work packages (WP 1, WP 2). The afternoon session also welcomed a group of HCMUT’s academic faculty to join specialized disscussions with academic groups of HUST and CTU to further elaborate the survey results which will be used to decide the list of ECO-RED courses. In the whole afternoon, all participants were divided into two groups: one for WP 1 and another for WP 2. The WP 1 group involved 11 people from 3 Vietnamese universities getting into instense debate but then came to satisfactory conclusion that the number of respondants should be increased to better measure local needs for ECO-RED courses.
The WP 2 group consisted of 5 European representatives and 3 members of HCMUT working on Bologna short course planning (contents, timeline, methogology, targets). All evaluation forms for the seminars at HCMUT were also handed to European partners to obtain general feedback from the attendees. From HCMUT’s perspectives, all seminars were generally evaluated as being successful to introduce important factors for building up a modern university e.g. Quality Assurance, Bologna Process and Internationalization. HCMUT suggested European partners to develop the contents in practical modules relating to the implementation process or system comparision to suit specialized target groups during online Short Courses on Bologna Process.
SECOND DAY MEETING
The second day meeting on 1st April required great efforts of all participants. Speaking first in the meeting, Ms. Gabriella CALDERARI from UNIROMA 1 introduced the project intranet platfrom to all partners involved. She later made very detailed explanations on how to upload auditing documents for each financial catagories during the project implementation. Lost of questions regarding exchange rate, pay rolls, invoices, equipment items etc. were raised by Vietnamese universities to clarify the desciption of these documents and the workload in each cost category. The platform was developed in clear headings to manage all project activities.
After Ms. CALDERARI’s presentation, the meeting was arranged into deeper specialized working groups that included three pararell sessions: (1) group working on WP 3 and WP 4 concerning the Elaboration of didactic programme and detailed syllabus, accreditation process, planning of elaboration of didactic material as well as setting equipment to facilitate ECO-RED courses teaching and learning; (2) group working on WP 6 about the elaboration of quality and evaluation plan and (3) WP 8 on Financial check of documentation with representatives of Vietnamese beneficieries.
The first group working on WP 3 and WP 4 gathered most of Vietnamese participants to discuss the plan for proposing ECO-RED courses and methodology for delivering ECO-RED modules. The timeline and task for designing syllabus was also agreed by all member. While waiting for the official list of ECO-RED courses, Vietnamese partners were suggested to initiate the preparation for purchasing equipment for video conference to support learning process. A general guideline for purchasing and setting up didactic equipment were presented to all partners by HCMUT as the WP 4 leader.
At the same time, George Makrides from the University of Cyprus was presenting to Vietnamese partners his plan for quality assurance in the second group working of WP 6. A bi-monthly meeting via Skype was proposed during the project period for the purpose of checking on the project progress and creating opportunities for frequent discussions and collaboration among partners.
Simultaneously with the above working groups, Ms. Gabriella CALDERARI met and responded to each Vietnamese partner’s questions on the project expenses and other financial issues & procedures.
The meeting was concluded with concise summary by Work Package leaders on the results of all group working.
